1. Controller and scope

This Privacy Policy explains how Otheriver RentQuote (the "App") processes information when installed on a Shopify store. The App is provided by Otheriver, operated by Alex Marcone, Via Primo Riccitelli 3, 64100 Teramo, Italy, VAT number 02172620672 ("Otheriver", "we", "us").

For personal data submitted by a store customer in a rental quote request, the merchant is generally the data controller and Otheriver acts as a processor on the merchant's instructions. Otheriver acts as controller for account, security, billing, support and legal-compliance data required to operate the App.

2. What the App does

The App turns a Shopify storefront into a rental catalogue. Visitors can add products to a quote basket and submit a non-binding rental quote request. Merchants can review requests and create or manage the related Shopify customer and draft order records. Customers may access their own request area through Shopify customer authentication.

3. Information processed

Merchant and store data: shop domain and identifiers, installation and authentication tokens, app settings, locale, billing status, support communications and technical logs.
Product and quote data: product and variant identifiers, titles, quantities, images and information required to prepare a rental quote.
Customer data: customer identifier, customer type, first and last name, company details when provided, email, phone number, billing or delivery address, tax information when provided, event details, requested dates, guest count, budget and message.
Technical data: request timestamps, browser or device information, IP address and security or error logs processed by our infrastructure providers where necessary.

The App does not collect or store complete payment-card details. It does not sell personal data, use it for third-party advertising or make automated decisions that produce legal or similarly significant effects.

4. Purposes and legal bases

We process information only to install and authenticate the App, display the rental catalogue, receive and manage quote requests, prevent duplicate customer records, create Shopify draft orders, provide the customer request area, deliver support, secure and troubleshoot the service, administer the subscription and comply with legal or Shopify requirements.

Where the GDPR applies, processing is based on the merchant's instructions, performance of a contract, legitimate interests in operating and securing the App, consent where required, and compliance with legal obligations. Merchants are responsible for providing their customers with an appropriate notice and legal basis for collecting rental quote information.

5. Service providers and transfers

We use Shopify for store, product, customer, authentication, draft-order and platform services, and Railway for application hosting, database and infrastructure services. These providers process only the information necessary to provide their services under their applicable terms and data-protection commitments. Information may be processed outside Italy or the EEA; where required, appropriate safeguards such as adequacy decisions or contractual protections are used.

6. Retention and deletion

Merchant configuration and quote records may be retained while the merchant actively uses the App and while they remain necessary to provide quote history, customer service, dispute handling or legal compliance. After uninstalling the App or receiving a valid deletion request, App-controlled personal data is deleted or anonymized within 30 days, unless a longer period is required by law. Residual encrypted backup copies are removed through normal backup rotation within a maximum of 30 additional days.

Customer and draft-order records stored in Shopify remain under the merchant's control and are subject to the merchant's own retention duties. The App processes Shopify privacy webhooks for customer data requests, customer erasure and shop erasure.

7. Security and access

We use HTTPS encryption in transit, infrastructure encryption at rest, restricted access, secure Shopify authentication, environment-based secret management, separate development and production environments, backups and recovery controls, and service and error logging. Access is limited to authorized personnel who need it to operate or support the App. No system can be guaranteed completely secure.

8. Rights and choices

Depending on applicable law, individuals may request access, correction, deletion, restriction, objection, portability or withdrawal of consent. Customers should normally contact the merchant that received the quote request. Merchants and customers may also contact apps@otheriver.com. We may verify identity before acting on a request.

9. Changes and contact

We may update this Policy when the App, providers or legal requirements change. The effective date above will be updated. Privacy and security questions can be sent to apps@otheriver.com.

Per i dati personali inseriti da un cliente in una richiesta di preventivo di noleggio, il merchant agisce generalmente come titolare del trattamento e Otheriver come responsabile del trattamento secondo le istruzioni del merchant. Otheriver agisce come titolare per i dati di account, sicurezza, fatturazione, assistenza e conformità necessari a gestire l'App.

2. Funzione dell'App

L'App trasforma uno storefront Shopify in un catalogo di noleggio. I visitatori possono aggiungere prodotti a un carrello preventivo e inviare una richiesta non vincolante. I merchant possono consultare le richieste e creare o gestire i relativi clienti e ordini preliminari Shopify. I clienti possono accedere alla propria area richieste tramite l'autenticazione cliente Shopify.

3. Informazioni trattate

Dati del merchant e del negozio: dominio e identificativi del negozio, token di installazione e autenticazione, impostazioni dell'App, lingua, stato di fatturazione, comunicazioni di assistenza e log tecnici.
Dati di prodotti e preventivi: identificativi di prodotti e varianti, titoli, quantità, immagini e informazioni necessarie a preparare il preventivo di noleggio.
Dati cliente: identificativo cliente, tipo di cliente, nome e cognome, dati aziendali se forniti, email, telefono, indirizzo di fatturazione o consegna, dati fiscali se forniti, dettagli evento, date richieste, numero di ospiti, budget e messaggio.
Dati tecnici: timestamp delle richieste, dati di browser o dispositivo, indirizzo IP e log di sicurezza o errore trattati dai fornitori infrastrutturali quando necessario.

L'App non raccoglie né conserva i dati completi delle carte di pagamento. Non vende dati personali, non li usa per pubblicità di terzi e non effettua decisioni automatizzate con effetti legali o analogamente significativi.

4. Finalità e basi giuridiche

Trattiamo le informazioni esclusivamente per installare e autenticare l'App, mostrare il catalogo di noleggio, ricevere e gestire le richieste, evitare duplicati cliente, creare ordini preliminari Shopify, fornire l'area richieste cliente, erogare assistenza, proteggere e risolvere problemi del servizio, gestire l'abbonamento e rispettare obblighi legali o Shopify.

Quando si applica il GDPR, il trattamento si basa sulle istruzioni del merchant, sull'esecuzione di un contratto, sul legittimo interesse a gestire e proteggere l'App, sul consenso quando richiesto e sull'adempimento di obblighi legali. Il merchant è responsabile di fornire ai propri clienti un'informativa adeguata e una base giuridica per la raccolta dei dati del preventivo.

5. Fornitori e trasferimenti

Utilizziamo Shopify per negozio, prodotti, clienti, autenticazione, ordini preliminari e servizi di piattaforma, e Railway per hosting, database e infrastruttura. I fornitori trattano solo i dati necessari a erogare i rispettivi servizi secondo i propri impegni contrattuali e di protezione dati. I dati possono essere trattati fuori dall'Italia o dallo SEE; quando necessario si applicano garanzie adeguate, quali decisioni di adeguatezza o tutele contrattuali.

6. Conservazione e cancellazione

Le configurazioni del merchant e le richieste possono essere conservate mentre il merchant usa attivamente l'App e finché necessarie per cronologia preventivi, assistenza, gestione controversie o obblighi legali. Dopo la disinstallazione o una richiesta di cancellazione valida, i dati personali controllati dall'App vengono cancellati o anonimizzati entro 30 giorni, salvo obblighi di legge più lunghi. Le copie residue nei backup cifrati vengono eliminate con la normale rotazione entro un massimo di 30 giorni aggiuntivi.

I clienti e gli ordini preliminari conservati in Shopify restano sotto il controllo del merchant e soggetti ai suoi obblighi di conservazione. L'App gestisce i webhook privacy Shopify per accesso ai dati cliente, cancellazione cliente e cancellazione negozio.

7. Sicurezza e accesso

Utilizziamo cifratura HTTPS in transito, cifratura infrastrutturale a riposo, accessi limitati, autenticazione Shopify sicura, gestione dei segreti tramite variabili d'ambiente, ambienti di sviluppo e produzione separati, backup e controlli di ripristino, log di servizio ed errore. L'accesso è limitato al personale autorizzato che ne ha necessità per gestire o supportare l'App. Nessun sistema può essere garantito come completamente sicuro.

8. Diritti e scelte

In base alla legge applicabile, gli interessati possono chiedere accesso, rettifica, cancellazione, limitazione, opposizione, portabilità o revoca del consenso. I clienti dovrebbero normalmente contattare il merchant che ha ricevuto la richiesta. Merchant e clienti possono anche scrivere a apps@otheriver.com. Potremmo verificare l'identità prima di dare seguito.

9. Modifiche e contatti
